The digital tape recording of the board meeting on 1/22/2018 was not successfully recorded. The camera appeared to be recording as like every other board meeting. How the process works:
New digital tape is inserted prior to the board meeting. The video is recorded to the tape and also sent to a streaming server for internet broadcast. Individual tapes can record approximately 60 minutes of video. As a precaution, a new tape is used after approximately 45-50 minutes of recording. What is seen on the camera screen, and what is sent to the internet are separate from what is recorded on tape. There were NO visual indications that the video was not recording properly. The issue was discovered when the tape has to converted from tape to digital format to be posted on our website. This is a one-to-one process. If there is 2.5 hours of video, it takes 2.5 hours to transfer the video from tape to a digital file to be posted. During the conversion process, only a blue screen was recorded. There is/was no intent for deception of the video to not be captured. I watched the internet stream of the meeting, which unfortunately, is not captured digitally either. We’ve never had a reason because the tapes have always been the source medium and are kept and archived.
For the past several board meetings were starting to have noticeable audio issues. Some issues were related to interference, but some were also related to the camera itself. The camera was purchased almost eight years ago. The camera is a Sony HDR FX1. It has been used for every board meeting, special meetings and graduations in those eight years. I was planning on replacing the camera for the 18-19 school year because of the age and vital nature of its uses.
We are looking into the replacement of this older camera. Given the age of the current camera, it would not be cost effective to attempt repair. We have eliminated tapes as the cause of issue. Since we have been using the same brand and make of tape for more than five years, and, multiple tapes are used for a board meeting, camera hardware would be the determining factor. Current technology pricing is such that it would be better to replace with new and better technology. I know the timing of an issue like this is NEVER good, but especially now.
